01Who we are
ONTIME MEDICAL MOBILITY LLC (“we,” “us,” or “our”) provides non-emergency medical transportation to people in Milwaukee and southeastern Wisconsin. Our rides are arranged and paid for through health plans, Wisconsin Medicaid, and transportation brokers.
This policy explains what information we collect, why we collect it, and what we do with it. It applies to our transportation services, our phone calls and text messages, and this website.
02Information we collect
To arrange and provide your ride, we collect and receive:
- Contact information — your name, phone number, and home address.
- Trip information — pickup and drop-off addresses, appointment date and time, and whether you need a wheelchair-accessible vehicle or other assistance.
- Authorization information — the member identification number and trip authorization your health plan or broker gives us so the ride can be billed.
- Records of our communications — the dates and times we called or messaged you and what was said, so we can answer questions about your ride later.
- Driver trip records — pickup and drop-off times, so we can confirm you arrived and bill correctly.
We do not collect payment card numbers. We do not ask for your Social Security number. We do not use advertising or tracking cookies on this website, and we do not track you across other websites.
03How we use your information
- To schedule, provide, and confirm your transportation.
- To contact you before your ride to confirm the pickup time.
- To coordinate with your health plan, your broker, and our drivers.
- To bill for trips that have been authorized.
- To respond when you call us with a question or a change.
- To meet our legal, licensing, and safety obligations.
We do not use your information for advertising, and we do not sell it.
04Text messages
This section describes our text message program, which is called ONTIME MEDICAL MOBILITY LLC Ride Reminders. Full program details are also in our Text Message Terms.
We only text people who have agreed to receive texts. We do not buy or rent lists of phone numbers, and we do not send text messages to anyone who has not agreed to receive them.
How you agree to receive texts
You agree during a phone call with our team. We explain the program to you, you tell us whether you would like to receive text reminders, and we record your answer along with the date and time. There is no online sign-up form, and we do not enroll you automatically just because a health plan or broker gave us your phone number.
What the messages contain
Our text messages confirm the date and pickup time of your ride. They say only that you have a “medical appointment.” They never name a clinic, hospital, doctor, or medical condition, so nothing private is revealed if someone else sees your phone.
How often we message
You will receive up to 4 messages per trip, and usually fewer. Message frequency varies depending on how many trips you take. Message and data rates may apply.
How to stop
Reply STOP to any message and we will stop sending you text messages. You may receive one final message confirming that you have been unsubscribed. Reply HELP for help, or call us at (414) 555-0100.
Text messages are optional
Agreeing to text messages is not a condition of receiving transportation. If you say no, we will confirm your rides by phone instead. You will receive the same service, on the same schedule, at the same cost.
We do not share your mobile phone number or your text messaging consent with anyone else for marketing or promotional purposes. No mobile information is shared with third parties or affiliates for marketing or promotional purposes. This includes the text messaging originator opt-in data and consent, which is never shared with any third party.
06Health information (HIPAA)
Because we provide medical transportation, some of the information we handle is protected health information under federal law (HIPAA). When we handle that information on behalf of a health plan or a broker, we do so as a business associate and we follow the privacy and security requirements that apply to it.
In practice, this shapes our services in specific ways. Our text messages never name a clinic, hospital, or treatment. Our drivers receive only the details needed to complete a trip. And access to trip records inside our company is limited to the staff who need it.
07How long we keep information
We keep trip and communication records for as long as required by the health plans and brokers we work with and by applicable law, and then we delete them. Records of your text message consent, including how and when you agreed, are kept for as long as we may send you messages, so that we can show your agreement was given.
08Your choices
- Stop text messages — reply STOP to any message, or call us and ask.
- Ask what we have — you can call us and ask what information we hold about you.
- Correct it — if something we have is wrong, tell us and we will correct it.
- Ask us to delete it — where we are not required to keep it, we will.
To make any of these requests, call (414) 555-0100 or email privacy@badgerstatemobility.com.
09How we protect information
We limit access to your information to staff who need it to do their jobs. Trip records are stored in systems that require a login, and access is logged. We require our vendors to protect your information by contract, and we do not allow them to use it for their own purposes.
10Children
Our services are for adults. If a minor is riding with us, the ride is arranged by a parent, guardian, or health plan, and we collect only the information needed for that trip. We do not knowingly collect information from children and we do not send text messages to minors.
11Changes to this policy
If we change how we handle your information, we will update this page and change the date at the top. If a change is significant, we will tell you directly when we contact you about a ride.
